Introduction

Holland Landscaping is a landscape design, build, and care business based in Auckland, New Zealand. Bert Schuurkamp and the team take your privacy seriously. This policy explains what information we collect when you visit hollandlandscaping.co.nz or get in touch with us, why we collect it, how we look after it, and what choices you have.

This policy is written to align with the New Zealand Privacy Act 2020 and the thirteen Information Privacy Principles set out in that Act. It applies to everyone who visits the website, sends us an enquiry, or otherwise shares information with us.

What information we collect

The information we hold falls into a few simple categories.

  • Your name, email address, phone number, and the message or detail you include when you fill out a contact or quote form on the website.
  • Property details you share when you ask for a quote, such as the site address, the type of work you want, photos you choose to send, and any access notes.
  • Any information you give us in person, on a site visit, on the phone, or in an email exchange.
  • Records of correspondence and notes from conversations we have with you while we plan or carry out work.

Information collected automatically

  • Basic technical data when you visit the site: IP address, browser type, device type, operating system, the pages you view, and the time and date of your visit.
  • Cookies and similar small files placed in your browser to help the site work and to help us understand how people use it.
  • Aggregated analytics data about traffic to and through the site.

Information from third parties

  • Referrals from other clients, property managers, architects, or builders who pass on your contact details so we can get in touch about a project.

Why we collect it

We only collect information for purposes that are connected to running our business and serving our clients well. Specifically, we use your information to:

  • Respond to your enquiry and answer your questions.
  • Prepare and send quotes and proposals.
  • Plan, design, and deliver landscape design, build, and care work.
  • Manage invoicing, payments, and the financial side of a job.
  • Send you relevant updates about your project, scheduled visits, or follow-up care advice.

How we store and protect your information

Your information is held on secure systems, including reputable cloud-based services that we use for email, file storage, accounting, and project management. We choose providers that take security seriously and that meet recognised standards for data protection.

Access to your information is limited to team members who need it to do their work, such as the staff member preparing your quote or scheduling your maintenance visit. We do not let people poke around in client records without a reason.

We do not keep your information longer than we need to. Enquiry data from people we never end up working with is deleted or anonymised after a reasonable period. Client records are kept for as long as our working relationship lasts, and for the period required by tax and other legal obligations after that. When information is no longer needed, we destroy or de-identify it.

No system is ever totally immune to a breach. If something does go wrong and there is a privacy breach that is likely to cause serious harm, we will notify the people affected and the Office of the Privacy Commissioner as required by the Privacy Act 2020.

Who we share it with

We do not sell your information. We never share it with advertisers or data brokers. We only share information where it is needed to deliver the work you have asked us to do, or where the law requires it.

Subcontractors and suppliers

A landscaping project often involves trusted trades and suppliers such as arborists, irrigation specialists, paving crews, fencers, or nurseries. Where they need to know your name, site address, access details, or specific job notes, we share only what is needed to get the work done. They are expected to keep that information confidential and to use it only for the job.

Service providers we rely on

  • Netlify hosts this website and processes basic request data when you visit.
  • Email service providers handle our inbox, contact form submissions, and any newsletter or update we send.
  • Accounting and invoicing software stores the financial records of work we do for you.
  • Project management and file storage tools hold drawings, photos, and notes related to your project.

When the law requires it

We may share information with regulators, law enforcement, or our professional advisers where a law obliges us to do so, or where it is needed to protect people, property, or our legal rights.

Cookies and analytics

  • The right to request correction of any information that you believe is inaccurate, incomplete, or out of date.

To exercise either right, email us at info@hollandlandscaping.co.nz with enough detail for us to find your records and confirm who you are. We will respond as soon as we reasonably can, and within twenty working days as required by the Act. If we need to charge a reasonable fee for a large request, we will tell you before we begin.

If you are unhappy with how we have handled your information or your request, you can make a complaint to the Office of the Privacy Commissioner at privacy.org.nz.

Third-party links

From time to time the website links out to other sites, such as a supplier, a partner trade, a council page, or an article we think is useful. Those sites have their own privacy policies and practices. We have no control over how they handle your information, and we are not responsible for their content or how they treat your data. We encourage you to read their policies before you share anything with them.

Changes to this policy

We may update this policy from time to time, for example when we change the tools we use, when our services change, or when the law changes. The latest version will always be on this page with a new "last updated" date at the top. If a change is significant, we will do our best to flag it more clearly. Continuing to use the website after a change has been posted means you accept the updated policy.
